Split the evening into shifts
A trunk-or-treat is two jobs: a lot of trunks that need hosts, and a short window where a few people keep everything safe and moving. Put the trunk hosts on a simple list with a number wanted, then give parking, check-in and first aid their own timed shifts. Shifts of about an hour work best, with a few people on each so no one is stuck at a post for the whole evening.
Ask volunteers to arrive fifteen minutes before their shift, and put the rain plan in the description so nobody has to ask. Ask hosts for their theme in a custom question, which also helps you avoid three identical pirate ships. For candy, ask for bags and offer an option for treats that are not food. Share the link three weeks out, since people plan around a Friday-night event early, and use reminders so shift one is not a lone volunteer. The same sheet works next year: duplicate it and clear the names.

Yes. Every shift has a number wanted, and when it fills, it shows as full. Turn on the waitlist if you expect a rush.
